Security Policy Development

Advanced Overwatch writes and reviews security policies for organisations across Northern Ireland.

Written security policies aligned with UK GDPR and the Data Protection Act 2018: CCTV, access control, monitoring, keyholding and the personal data those systems create, drafted around how your organisation actually operates. For camera-specific policies see CCTV policy development. Available at any location: across Northern Ireland and further afield, with remote delivery where the work allows.

Security for businesses and homes across N.I.

Who needs written security policies

Policies matter where security touches more than one person or more than one system. The usual triggers: a tender that asks for the documents; an insurer or auditor asking how access and footage are controlled; a certification that requires documented operating procedures; a subject access request nobody knows how to answer; staff turnover that took the arrangements with it; or a multi site operator whose branches each do things differently.

The organisations that get most from this are the ones running several systems: cameras, access control, an alarm, a monitoring contract and keyholding, each supplied at a different time by a different company. Each one creates records about people, each one has its own access list, and nobody has ever written down how they fit together.

A policy pack is not paperwork for its own sake. It is what lets a manager make the same decision on a Friday night as they would on a Monday morning, and it is what an auditor asks for first.

How we develop the policy pack

01

Discovery. The policy pack begins with a list of every system that creates a record about a person, including cameras, door controllers, alarm logs, monitoring records, keyholding, visitor books and any staff monitoring in use.

02

Mapping. For each one we establish the purpose, the lawful basis, where the data sits, how long it is kept and who can reach it.

03

Drafting. The pack covers system operating rules, roles and responsibilities, access rights, retention, disclosure to police and insurers, subject access handling, incident and breach reporting, contractor and visitor rules, and the review cycle.

04

Workshop. We walk the draft through with the people who will have to follow it, and change anything that does not match how the site actually runs.

05

Rollout. Short staff guidance, a named responsible role and the forms your team will actually use.

06

Review. A documented review date, a change log and a reassessment when systems, premises or responsible staff change.

Standards, questions to ask and what happens next

UK GDPR and the Data Protection Act 2018 are the operative law wherever a security system creates personal data. The Information Commissioner’s Office guidance on CCTV and video surveillance and its legitimate interests guidance set out what an organisation has to be able to show. Breach reporting duties are covered too, and the ICO publishes the route for reporting a breach along with the deadline that applies. Where you hold a management system certification, the pack is written so it can be referenced from that system rather than sitting beside it and contradicting it.

Worth asking any supplier: is the pack drafted from your actual system list; does it name roles rather than individuals; does it cover access control and monitoring records as well as cameras; does it include a breach procedure with the reporting deadline; and does it come with the forms and a review schedule.

Common questions

CCTV, access control and monitoring systems all process personal data, so UK GDPR and the DPA 2018 apply to them just as they do to any database.

CCTV policy development covers one system in depth. Security policy development covers your whole security operation, including access records, alarms and monitoring data.

Yes. Documented, current policies are increasingly a tender requirement and are exactly what auditors and the ICO expect to see.

Yes. Policy development is available at any location, and much of the work can be delivered remotely after an initial review of your systems.

At least annually, and whenever systems, premises or responsible staff change. A review schedule is part of the pack.

They can. Documented operating procedures, defined roles, access control and a review cycle are the kind of evidence a management system audit looks for. We write the pack so it can be referenced from an existing management system rather than duplicating it, and we align the wording with the standard you are certified to.

The policy says what the organisation does and why. The procedure says how a named role does it, step by step, on a particular day. Auditors ask for both, and staff only ever use the second one, so we keep procedures short enough to fit on one page and leave the reasoning in the policy behind them.

The organisation remains accountable, which is why the pack names a responsible role, records who was trained and when, and includes an incident route so a failure is reported rather than hidden. That record is what turns a mistake into a manageable event instead of an enforcement problem.
